Rental operations software

Built for what leaves the building.

A rental is a physical object. It gets picked, loaded, delivered to an address, signed for, brought back, inspected, cleaned and put out again before the next customer can have it. Bodhisys runs that whole loop.

Saturday morning, out the door

A peak Saturday is where a rental operation gets tested. Deliveries, pickups and swaps land inside the same few hours and get sequenced together, because a driver on that morning is doing all three on the same loop.

The platform runs that morning at whatever size you are. One van out of one location, or a fleet working several, on the same board and the same screens. Nothing here is tiered, priced or licensed by the size of your operation, so growing means more units on the board rather than a bigger plan or a different system.

Below is a real Saturday on the platform rather than a drawing of one. Deliveries, pickups and swaps cleared across the island, with every route on the map sequenced by window and zone rather than by the order the bookings arrived.

The loading list comes off the run, the run comes off the reservations, and the driver carries the same stops in the same order on a phone. A unit that is not on the list will not scan into the van, which is where a wrong load gets caught. Every stop closes with a photo the guest has before the van reaches the next address.

Reading the map

  • Square, a delivery.
  • Diamond, a pickup.
  • Diamond on a square, both at one address. Two orders closed on one stop.
The map view mid-morning on a real Saturday. Driver names are obscured; everything else on the screen is that morning as it ran.

What you operate the whole business on

A reservation arrives online and lands against a specific unit rather than a generic pool. The unit is held across every location you run, so the same kayak cannot be sold twice on the same morning. Delivery and pickup runs are sequenced by address, time window and vehicle capacity, and the vehicle driving them reports its own position back onto the same screen.

The driver confirms the drop with a photo, a timestamp and a location, and the customer has it by text before the question occurs to them. On return the unit is inspected against its own record, and it becomes bookable again once it is fit to go out.

All of that is one system. Nothing exports to a routing app, no second portal holds the fleet tracking, and no spreadsheet tracks which units are in for repair.

One record, nine writes

The nine stages, in order

  1. Hosted booking site
  2. Online booking
  3. Waivers and licences
  4. Multi-location inventory
  5. Route planning
  6. Delivery vehicle tracking
  7. Delivery confirmation
  8. Returns and turnaround
  9. Guest messaging

Nine writes to one row. A platform that needs a second system for any of these stages needs somebody to keep the two of them agreeing.

Every stage writes one line here. Nothing is exported, reconciled, or keyed in a second time to make that true.

The guest finds you on a site you own rather than through a reseller taking a commission on the way in. The pages that have to rank and the availability they show read from this record, so nothing is edited by hand to stay true.

Nine stages, one record and four services that never stop. Every stage opens the capability that does the work.

Where seat-selling software runs out

A ticketing platform models availability as a count. Twelve seats at ten o'clock, eleven after a booking. That holds up until the thing being sold has a serial number, a service history and a physical location somewhere other than your shop.

Rental operators patch the gap with spreadsheets, a routing tool, a shared inbox and a whiteboard in the workshop. The cost shows up as double bookings, drivers doubling back, and units marked available while they sit in the yard waiting on a part.

Book against each model below and watch the difference. The full comparison of rental software against tour software goes through it line by line.

Eight bikes, two locations, one in the workshop. Book against each model and see which one can tell you which bike the customer is getting.

A count says how many. A unit record says which one, where it is, and whether it is fit to go out.

What the guest gets, without anybody typing it

The confirmation, the lock code, the delivery photo and the pickup time all come off the reservation. A guest who replies reaches the person holding that run rather than a shared inbox that nobody owns on a Saturday.

That is also what settles a dispute in October. A photo with a timestamp and a location, sent at the moment of the drop, is a stronger record than anybody's memory of the morning.

  2. Can I add another bike to the order?
  3. Yes. Sending an updated order for approval, and the extra bike is held while you look at it.
  4. Approved, thank you.

Every message hangs off the order, so a reply about a delivery reaches the person holding that run rather than a shared inbox.

Ask the thread something. The answer comes off the reservation, the run and the stock that is free.

Industries

The operational shape repeats across rental categories and the detail never does. A beach gear operator delivers to a house before the family wakes up. A boat operator cannot let an unlicensed renter leave the dock. An equipment yard bills by the day and watches service intervals.

Wheels and vehicles

Anything with a key or a kickstand.

A tracker can go in the unit itself on most of these, so the office can see where a rental is and be alerted if one leaves its zone. It is not limited to this family: a hull or anything else worth keeping track of can carry one too.

On the water

Hulls, boards and the kit that goes with them.

Off-road

Machines that come back marked.

Beach and family

Delivered before anyone wakes up.

Sport and outdoor

Fitted to a person, not a date.

Events and equipment

Committed months out, billed by the day.

Tours and tickets beside the rental

Guided tours and timed activities sell in the same flow as the kayak, drawing on the same customer record and the same messaging. Capacity for a sunset paddle and stock for a half-day board hire sit in one basket and settle as one order.

What it costs

No monthly fee. A small percentage, 4.5%, is added to each reservation and paid by your customer at checkout, so you receive your list price and the platform costs nothing to run.

FareHarbor charges the guest about 6%, with about 3% card processing on the operator on top, which is around 9% all in. Peek Pro charges the guest about 8% on the same shape, which is around 11%. Against 4.5% that is a point and a half off what your guest pays at checkout, three and a half against Peek Pro, and the processing stays between you and your own processor rather than being set by the platform.

6% of that is added to your guest's checkout. The other 3% is card processing, billed by the platform that runs the payments. With Bodhisys you keep your own processor and pay them directly, so the only rate beside our name is the one at checkout.

What operators say

Two companies running their season on the platform, quoted as they wrote it. Neither line is turned into a headline figure here, because the words belong to them and the arithmetic behind them belongs to their business.

Last year, we increased sales by 15% while operating with 11% fewer trucks. Bodhisys has completely transformed our logistics planning, allowing us to operate more efficiently and even service areas over 12 hours away.

HHI Rentals, LLC

With Bodhisys, we've been able to streamline our entire workflow. The ability to track deliveries, capture vehicle condition photos, and manage guest documentation all in one place has reduced errors and saved our team hours every day. It's brought a level of organization and visibility we didn't have before.

What is Bodhisys?

Bodhisys is rental operations software for companies that rent things, vehicles and experiences. It was built for rental inventory rather than adapted from a ticketing system, and it has been in market since 2023.

It runs reservations, inventory across every location, seasonal rates, routing, delivery vehicle tracking, delivery confirmation, waivers with licence and sobriety capture, tracking and geofencing on the vehicles you rent out, guest messaging, cancellation protection and returns. Customers, future reservations and booking history migrate from FareHarbor, Peek Pro and Bike Rental Manager.

The name is for the thing it is meant to give you: a clear view of what you have, where it is and what it is doing, held in one record. What that means in practice.

There is no monthly fee. A 4.5% charge is added to each reservation and paid by your customer at checkout.

Where it is the wrong choice

Bodhisys is younger than FareHarbor and Peek Pro and has a smaller install base. An operator whose revenue is mostly timed tours with rental inventory alongside it is better served by an incumbent built for exactly that.

So is a buyer who needs a long list of third-party integrations available today. The integration catalogue is short, and saying otherwise would waste your evaluation.

Questions

What does Bodhisys cost?

There is no monthly fee. A 4.5% charge is added to each reservation and paid by your customer at checkout. Card processing is billed separately by your payment processor at their published rate.

Can we migrate from our current platform?

Yes. Customers, future reservations and booking history import from FareHarbor, Peek Pro and Bike Rental Manager. Stored card tokens cannot move between processors and are re-collected at the next booking.

Does it handle multiple locations?

Yes, as one live view of every unit with transfers recorded, so stock idle at one site can fill demand at another.

Is there a contract or a minimum?

No monthly fee means no minimum. The charge exists only when a reservation does.
